Monthly Close Process
The university closes each accounting period in PeopleSoft Financials. Prior to the close process, college and divisional business administrators should be cognizant of the month-end procedures and tasks in PeopleSoft Finance for which they are responsible.
One of the most critical tasks in the month-end procedures is timely submission and approval of journal entries. All journals for an accounting period must be created, submitted, approved and posted within two business days of the last day of the period being closed. Reminder notices are sent by General Accounting and Financial Reporting around the 25th of each month. If journals remain in PeopleSoft past the deadline, they are subject to deletion and will require resubmission in the following month.
It is the responsibility of the initiator of the journal and the departmental approver to resolve journal errors or denials in a timely manner prior to the set deadline. If a journal is denied, the initiator of the journal is sent an email detailing the reason of the denial and should make any necessary corrections, and submit the corrected journal back into workflow no later than the deadline. Failure to make corrections or to receive a valid budget check could result in the deletion of the journal in order to complete the close according to University of Houston System's (UHS) deadline.
