Explore student organization financial management, email accounts, mail, and carrel spaces.
Financial Management
Organizations are expected to maintain their finances independent from UHCL. Should they wish, RSOs may open a bank account at an off-campus location of their choosing. To do so, organizations should first secure an Employer Identification Number (EIN), Federal Tax Identification Number.
The university assumes no liability for the financial transactions of a given student organization and strongly recommends that each organization establish whatever controls it deems necessary via the organization’s constitution and/or bylaws.
Note: RSOs are legally independent and autonomous from the University and therefore do not have access to the University’s tax-exempt status.

Student Government Funding
Student Government funds RSO activities and events! RSOs can receive 50% reimbursement for events, and you can collaborate with other organizations to co-sponsor events and request more money.
Please ensure you complete the fund request form at least 3 weeks in advance of requested presentation date (prior to your event/travel). Submit a Student Org Funding Request Form to begin the process.
Fundraising
Get creative and think about how your org may be able to host a fundraiser to provide the community with something in exchange for donations. Examples include a car or dog wash, hosting a conference or speaker and charging entry, reaching out to a local restaurant and hosting a fundraiser night, selling merchandise, or more.
Receiving Donations
Registered student organizations may receive donations from non-university entities. Any student organization soliciting donations must make clear to any potential donor that they are independent entities whose solicitations are not endorsed by or connected to UHCL.
Raffles
Student Organizations are not typically allowed to conduct raffles. A raffle is defined as "the award of one or more prizes by chance at a single occasion among a single pool or group of persons who have paid or promised a thing of value for a ticket that represents a chance to win a prize." For more information regarding if your organization qualifies to host a raffle, consult the Texas Attorney General.
Selling Merchandise
Make sure to follow brand guidelines when selling merchandise that features UHCL logos.
Bake Sales
If interested in hosting a bake sale, please adhere to Environmental Health and Safety’s guidelines regarding home-cooked goods, food permits, and food handler’s licenses.
Email Accounts
All Organizations will be issued an official @uhcl.edu email address upon first registration.
Ownership of the account will be tied to an organization officer and will be transferred to a new officer each year during registration or as needed. Account owners may change their password whenever needed.
If you are unsure of your organization email or need assistance accessing it, please email studentorgs@uhcl.edu.
When mail is delivered for student organizations, the Student Organization Center and Lounge front desk staff will email the student organization letting them know they have mail for pick up along with what box number it is in.
For Carrel space users, your mail will be in your designated slot.
Packages and Sensitive Mail
If your org has a package or sensitive mail, SOCAL staff will email you and lock your package safely away until an officer listed on the organization’s GetInvolved roster arrives for pickup.
Carrel Spaces
Carrel Spaces are desk, storage, and bulletin spaces in the Student Organization Center and Lounge. Organizations may reserve a space for the entire academic year.
The first 28 RSOs who complete the annual registration process, request a Carrel Space, and complete the required steps to secure one are allotted a space for the academic year. Carrel Spaces may be taken away should RSOs not adhere to UHCL policies and expectations.
